To assist you, the University Payroll Office has provided a checklist below of essential information and data necessary concerning the processing and distribution of your salary or wages. This checklist is a resource only and is not intended to replace any Illinois State University policy or Human Resource requirements.

As an Illinois State University employee, the University Payroll Office encourages you to utilize the checklist to ensure you are aware when and how you will be paid and all the necessary forms you must complete and submit.

CHECKLIST:

All new employees are expected to complete the following forms within the first three days of hire.

W4

Form W-4

This form instructs the University Payroll Office to withhold the correct amount of income tax from an employee's paychecks.

To complete your Federal Form W-4 allowances, you may utilize Employee Self-Service in iPeople or submit a completed Federal Form W-4 to the University Payroll Office. To complete the State Form IL-W-4, please submit a completed State Form IL-W-4 to the University Payroll Office.

Nonresident alien employees should consult the University Nonresident Alien Tax Specialist, Brenda Banwart, to complete Form W-4. A nonresident alien (NRA) does not have U.S. citizenship or permanent residency.

Direct Deposit

Direct Deposit Authorization Form

This form authorizes the employee's paycheck to be deposited automatically into one or more accounts with financial institutions that receive electronic transfers.

Review the Payroll Calendar and note pay days.

Payday

Pay Dates

Payday is the 15th and end of each month.

Hourly employees are paid on a semi-monthly basis. Hours worked from the 1st of the month to the 15th of the month are paid at the end of the month. Hours from the 16th of the month to the end of the month are paid on the 15th of the following month.

Salaried employees are paid on either a semi-monthly or monthly basis depending upon their employee classification.

Civil Service employees are paid for the 1st of the month to the 15th of the month on the 15th of the month, and for the 16th of the month to the end of the month at the end of the month. Faculty and Academic salaried employees are paid for the 1st of the month to the end of the month at the end of the month.

Payment calendars are available for the following groups of employees:

  • Semi-Monthly Hourly Employee
  • Semi-Monthly Salaried
  • Monthly Salaried Employees

Review your pay advice (earning statement) each pay period.

Pay Advices

Pay advice information is available to view in Employee Self Service (ESS) in iPeople three business days before payday.

A pay advice is a statement detailing an employee’s pay information.
