Form 1042-S

Illinois State University is pleased to announce individuals who are considered nonresident aliens for tax purposes may receive their Form 1042-S, Foreign Person’s U.S. Source Income Subject to Withholding, electronically.

Individuals who consent to receive their Form 1042-S online will not receive a paper copy of their Form 1042-S in the mail. If they choose not to receive their Form 1042-S electronically, then they will receive their Form 1042-S through the mail. Form 1042-S will be mailed to the address listed in SprintaxTDS or an individual’s permanent address.

Distribution

Form 1042-S (Foreign Person's U.S. Source Income Subject to Withholding) is available electronically via https://tds.sprintax.com to individuals who elected electronic distribution of their Form(s) 1042-S through SprintaxTDS (Sprintax Determination System). Form(s) 1042-S will be mailed February 1st via the United States Postal Service (USPS) to individuals who elected hard copy distribution.

Individuals who had completed a SprintaxTDS tax record during the previous calendar year and selected to receive their Form(s) 1042-S electronically are able to access their SprintaxTDS record and print their Form(s) 1042-S for Wage/Compensation payments, Non-service Scholarship/Fellowship type payments, and Prize or Award payments. To determine whether you selected to receive your Form(s) 1042-S electronically, log onto your SprintaxTDS tax record and view your selection on the first screen under "User Agreement."

Individuals who selected to receive their Form(s) 1042-S electronically through SprintaxTDS will receive a notice via email announcing that their Form(s) 1042-S is ready. The email will contain specific instructions on how to access SprintaxTDS and print your Form(s) 1042-S.

If you selected NOT to receive an electronic Form 1042-S via SprintaxTDS or did not complete a SprintaxTDS tax record during the previous calendar year, then your Form(s) 1042-S was mailed to you. If you do not receive your Form 1042-S by the first week of March, you can request a duplicate copy by submitting a Request for Duplicate Form 1042-S, to University Payroll Office by mail, fax or in person.

Mail delivery:

  • If you did not choose online delivery through SprintaxTDS, your Form 1042-S will be mailed to the U.S. address you entered in your SprintaxTDS record.
  • If your Glacier record was incomplete as of December 1, your Form 1042-S will be mailed to the U.S. address you entered in your SprintaxTDS record.
  • If you did not enter a U.S. address in SprintaxTDS, it will be mailed to the foreign address you entered in SprintaxTDS.
  • If you did not complete a SprintaxTDS record in the previous year, Form 1042-S will be mailed to the address you provided at the time of payment.

Form 1042-S is primarily used in completing your U.S. Federal and State tax returns. You may need to attach copies of your Form 1402-S to your tax returns, which is why there are multiple copies.

A copy of each Form 1042-S is sent to the U.S. federal tax authority, the Internal Revenue Service (IRS).
